1. What We Collect

We practice strict data minimization—we only collect data that is absolutely necessary for Fresher Bot to function correctly. This includes:

Discord Metadata: Your Discord User ID, Server (Guild) IDs, Channel IDs, and Role IDs required for configuration and permission checks.
Bot Configuration: Settings you configure via the dashboard or bot commands (e.g., logging channels, economy settings, ticket panel setups).
Ticket Data: If you use our ticket system, ticket contents are saved to generate transcripts. These are strictly tied to the relevant Server and accessible only to authorized staff.

We do not mass-log your chat messages. We only read messages when a specific command is triggered or when processing content through our opt-in auto-moderation filters, dropping the data from memory immediately afterward.

2. How We Use the Data

Your data is utilized solely to deliver and improve our Service. Specifically, we use it to:

Execute bot commands, maintain economy balances (Fresh Coins), and run moderation tools.
Authenticate you securely on our web dashboard using Discord OAuth2.
Process and verify premium subscriptions via our payment gateway (Razorpay).
Analyze generic usage metrics (e.g., command usage frequency) to optimize infrastructure performance.

3. Data Sharing

We never sell, rent, or trade your personal data. Information is only shared with trusted third parties under strict confidentiality when necessary for operational purposes:

Payment Processors: Necessary identifiers are shared with Razorpay strictly to handle subscription billing securely.
Hosting Infrastructure: Our databases and servers are hosted on secure, industry-standard infrastructure providers.

4. Data Security and Storage

Security is our priority. All persistent data is stored in a secure PostgreSQL database. We employ robust security measures including:

End-to-end encryption for sensitive dashboard sessions.
Strict access control policies—only lead developers have access to database infrastructure for maintenance purposes.
Routine security audits and updates to our dependencies to patch vulnerabilities.

5. Data Retention

We retain your server's configurations and data for as long as Fresher Bot remains in your Discord server.

If the bot is kicked or removed from your server, your data is held for a brief grace period (typically 30 days) in case the removal was accidental. After this period, active data is purged from our production databases.

6. Your Rights & Data Deletion

You maintain full ownership and control over your data. You have the right to request the deletion of your personal information.

Server Data: To initiate the deletion of your server's data, simply kick the bot from your Discord server.
Personal Data: To request a complete manual scrub of your personal Discord ID from our global records, please contact our support team at fresherbotdiscord@gmail.com.
